Decision rules come before the form

Imagine a purchase request. It is submitted, reaches a manager and waits for days. Software is not always the cause. The approval threshold or replacement approver may be unclear.

A workflow project should resolve that uncertainty first. A digital version of a paper form does not create decision rules by itself.

Complete one process first

Trying to include every request from every department makes the first implementation harder to define. Instead, choose a bounded purchase process: who starts it, which fields are required, who decides and what record follows?

The requester, approver and purchasing owner should discuss the same example. Everyone needs to agree on what “approved” means. Budget approval and order approval may be separate steps.

Exceptions are part of the workflow

What happens after rejection? Does a request returned for missing information need to be recreated? Is an earlier approval still valid after the amount changes? Who acts when the approver is away?

Answering these only after launch makes the process harder to manage. Test rejection, correction, cancellation and delegation alongside the standard path.

Measure waiting time consistently

A request’s total duration is different from the time it spends with one person. Weekends, missing documents and time returned to the requester can affect the result.

A few clear measures are enough initially: open requests, current owner and time at the current stage. Before setting a performance target, make sure everyone understands how the duration is calculated.

Where does Logo Edge Flow fit?

Logo Edge Flow provides tools for forms, workflow design, task assignment and tracking. How well they serve your business depends on clearly defined decision rules.

A sample request and a description of its current route are enough to start a discussion with ER-TE. We can work through them together and define the first implementation.
