Define the scope of records first

Be clear about which periods and employee groups will move. Active employees, former employees and historical transactions serve different purposes. Transferring unnecessary detail can be as problematic as leaving out history that will be needed later.

Match the same person consistently

An employee number may differ between HR and attendance systems. Prepare the mapping rule at the start. A name alone is not a reliable matching key. Pay particular attention to people who have moved between companies or workplaces.

Do not infer permissions from department names

Not everyone in HR needs access to every field. Viewing, editing and approving should be considered separately. Define which employees each manager can access and how permissions change when responsibilities change.

Check leave and attendance against a sample period

Compare opening and closing information for a selected period. Carried-forward balances, missing days and later corrections may explain differences. Avoid assuming one general calculation without considering the product and company rules together.

Who accepts the result before go-live?

A completed technical transfer does not mean the business team has accepted the records. Define sample checks, a discrepancy list and an approval owner. When ER-TE reviews an existing j-HR or other HR setup, we can assess this data and access structure alongside current product options.
